Overview

The Project Manager Assistant plays a vital role in supporting project managers by planning, organizing, and executing tasks efficiently. This role involves scheduling meetings, tracking project progress, preparing reports, and coordinating team communications to ensure projects meet deadlines and operate smoothly.
Key Responsibilities
  •  Obtain OD and LNI permits; plan oversize transport routes
  •  Solicit contractor quotes; collect W-9s and insurance certificates
  •  Schedule cleaners, gutter installations, portable restrooms, and utility locates
  •  Confirm survey completion; record inspection results in Planner and Teams
  •  Update Wolf app, Business Central(BC) tasks, warranty jobs, and Warranty CSV
  •  Add contacts to Wolf phones; create production binders in Microsoft Teams
  •  Order address signage and gas meter dog tags
  •  Add/update Google Business labels and phone numbers
  •  Coordinate pick-up/drop-off of rental equipment and emergent materials
  •  Perform additional PM-directed administrative and coordination tasks
Qualifications

  • Candidates must have 1-3+ years of construction experience with a proven track record in administrative, permitting, project support roles.

  • They should be knowledgeable in construction methods, materials, blueprints, and tools.

  • Proficient with Microsoft BC, Teams, Google Workspace, Buildertrend (or similar).

  • Familiarity with Oregon/Washington permitting processes (OD, LNI) preferred

  • Strong leadership, communication, detail-oriented, and problem-solving skills are essential.

  • Candidates must demonstrate a proactive approach to resolving issues, commitment to safety standards, and exceptional organizational abilities.

  • Physical ability to work in demanding environments.

Education and Certifications

  • A high school diploma or equivalent is required.

  • Valid driver’s license and reliable transportation.

  • Additional certifications in construction management or carpentry are preferred but not mandatory.

Working Conditions

The role is primarily office-based but includes on-site visits with exposure to weather, noise, and potential hazards. Travel to job sites across Oregon and Washington, approximately 50 percent of the time, is required. Evening or weekend work may occasionally be needed to meet deadlines.

Schedule

Work hours typically include 8 to 10-hour day shifts, Monday through Friday, with on-call and occasional overtime requirements.
